Job Description
POST: Village Hall Caretaker / Cleaner
BASED AT: Waddington Village Hall, Grantham Road, Waddington
POSITION REPORTS TO: Parish Clerk
To open and close the Village Hall for hirers as required from Saturday and Sunday. Some regular hirers of the Hall have their own keys and do not need this service.
General cleaning duties should be carried out Wednesday evening, and Saturday and Sunday, at times to fit in with the day-to-day use of the Hall.
The hours worked should be flexible, consistent with the day-to-day use of the Hall and should, on average, take not more than 8 hours per week.
A monthly timesheet is to be completed and given to the Parish Clerk at the end of the month.
As an employee of the Council, you should conduct yourself accordingly in how you present yourself and how you interact with the public to ensure the Council continues to be seen as a respected and professional body. This also extends to comments made on Social Media or in public meetings that might suggest that you are speaking on behalf of the Council rather than a member of the public. This is unless explicitly authorised to do so, by the Parish Clerk.
You are entitled to ask for an informal chat with the Chairman of the HR Committee at any time.
Responsibilities
- Cleaning & Servicing:
- To clean and service on a regular, planned, basis and to a high standard, the facilities and floors of Waddington Village Hall.
- To ensure that the building remains tidy and that all furniture and equipment is appropriately stored after use.
- To monitor stocks of cleaning supplies and other consumables and to advise the Parish Clerk to ensure that they are replenished in good time.
- Maintenance: To ensure that the Parish Clerk is promptly informed of any new maintenance issues.
- Supervision of Premises:
- To monitor the activities in the Hall to ensure that hirers comply with the Hall’s Conditions of Hire and other statutory requirements.
- To open and close the Hall at times appropriate to the booking schedule and to secure the premises when the Hall is not in use.
- To retain custody of the keys to the building. Keys may only be loaned/provided to hirers or other third parties with the express permission of the Parish Clerk.
- Any other duties as required.
Bookings
Before each booking
- Check cleanliness of booked facilities, including toilets, kitchen, tables and chairs.
- Check supply of consumable items – toilet rolls, soap, paper towels, etc.
- Unlock appropriate doors.
- Switch on emergency lights.
At booked time – this procedure applies only to first time hirers who are unfamiliar with the facilities and how they work.
Meet hirer at the time of their booking and inform them of the followings:
- Operation of lighting including hall, stage and bar (if required).
- Explain kitchen and toilet facilities.
- Location of fire extinguishers, emergency exits, fire alarm system and assembly point.
- Agree procedure for locking Hall at the end of booking.
At conclusion of booking
- Inspect facilities to ascertain all is generally in an acceptable order – any damage to be brought to the attention of the hirer.
- Ensure that all is tidy for the next booking.
- Check cleanliness of fridge and that no food has been left, and that the kitchen is in a hygienic condition.
- Empty kitchen bins and washroom bins.
- Check all water taps are turned off.
- Turn off all lights.
- Lock Hall.
Cleaning
- The following areas should be kept clean as necessary:
- All toilet facilities, including floor, tiles and mirrors.
- Kitchen and bar areas.
- Tables and chairs.
- Check that all consumables items (toilet rolls, soap, paper towels etc.) have been replaced.
- Weekly
- Clean tiles, doors and walls in kitchen.
- Clean off any marks on other walls.
- Clean floors.
- Disinfect internal drains in toilets and kitchen.
- Dust window ledges.
- Sweep around front emergency exits.
- Clean glass in the internal doors as necessary.
